The following booking conditions form the basis of your contract with Holiday India Journey (“we”, “us” and “our”). Please read them carefully as they set out our respective rights and obligations. By asking us to confirm your booking, we are entitled to assume that you have had the opportunity to read and agree to these booking conditions.
These booking conditions apply to the trip arrangements you book with us in India and which we agree to make, provide, or perform (as applicable) as part of our contract with you. All references in these booking conditions to “trip”, “booking”, “contract”, or “arrangements” mean such trip arrangements unless otherwise stated. References to “departure” mean the start date of these arrangements.
To make a booking, please follow the procedure shown on our website or request an offline application form. The relevant form must be completed by each person travelling. If you are under 18 at the time of booking, the form must also be signed by your parent or guardian or initialled online during the booking process. The completed form must be sent to us together with the required payments.
Once we confirm the availability of your chosen arrangements, your booking will be treated as firm and a contract between us will come into existence as soon as we receive your completed form and deposit. We will then send you a receipt and invoice.
If you book online without prior confirmation, please note that any electronic acknowledgement of your booking is not a confirmation until we issue an official invoice. Please check your invoice carefully and contact us immediately if any information appears incorrect or incomplete.
If your balance (including any applicable surcharge) is not received by the due date, we reserve the right to treat your booking as cancelled. If we do not cancel immediately because you have promised payment, you must still pay the applicable cancellation charges depending on the date we treat your booking as cancelled.
The price quoted for any trip covers planning, organization, group equipment, supplies, accommodation, administration, and staff. You are responsible for:
We reserve the right to make changes to and correct errors in quoted prices at any time before your trip is confirmed. Once confirmed, prices will only change in the event of significant alterations in transportation costs, taxes, or exchange rates.
It is essential that you have adequate travel insurance covering cancellation, medical emergencies, evacuation, and repatriation.
By booking, you confirm that you are in good health, capable of undertaking the trip, and unaware of any condition that may affect your participation. Please inform us before booking if you have any medical conditions or disabilities that may affect your trip.
Special requests should be made at the time of booking. We will endeavour to meet them, but they cannot be guaranteed unless confirmed in writing.
All cancellations must be notified in writing by the party leader via email or letter. The cancellation will take effect when received by us.
Cancellation Charges (% of Total Cost):
Booking amount (30% of total package) is non-refundable. However, you may adjust this amount against any other tour, trek, or activity offered by Holiday India Journey after the booking date.
If you are unable to travel, you may transfer your booking to another person (introduced by you) provided we are notified at least 2 weeks before departure. Any additional costs incurred due to the name change or rebooking must be paid before the transfer is confirmed.
Changes to confirmed bookings will depend on availability and may incur additional supplier costs. Changing travel dates is generally treated as a cancellation and rebooking.
If weather conditions or events beyond our control require itinerary changes, we will make reasonable efforts to maintain the trip’s content. Additional costs arising from such changes (e.g. accommodation, meals, transportation) will be shared by mutual agreement.
In rare cases, we may have to cancel a trip due to insufficient participants. In such cases, you will be notified at least 15 days before departure and offered alternative arrangements or a full refund.
We will not pay compensation or refunds for cancellations caused by circumstances beyond our control (“force majeure”) including war, natural disasters, civil unrest, or adverse weather.
We promise that all trip arrangements will be carried out with reasonable skill and care.

We cannot accept responsibility for services not included in our contract, such as independent arrangements you make or additional activities booked directly with suppliers.
Holiday India Journey works with independent regional partners who operate under our quality standards but are separate legal entities.
It is your responsibility to arrive at the designated meeting point on time. We cannot offer compensation for delays or missed connections due to transport issues.
Suppliers may operate under their own terms and conditions which can limit or exclude liability in certain cases.
During the trip, you must follow all instructions given by our guides or representatives. We reserve the right to remove any participant whose behaviour is deemed unsafe, illegal, or disruptive. In such cases, no refund will be given.
You are liable for any damage caused by your actions. Full payment for any such damage must be made immediately to the affected party or to us directly.
You must ensure you hold all necessary travel and health documents. We cannot be held responsible if you are refused entry or penalized due to missing documentation.
If you have a complaint during your trip, inform your trip leader or our local representative immediately so we can resolve it on the spot. If unresolved, email us at holidayindiajourney@gmail.com with full details within 14 days of the trip’s end. Failure to report issues promptly may affect your rights.
All information on our website and in our marketing material is correct to the best of our knowledge at the time of publication. However, changes and errors may occur, and you should verify all details with us at the time of booking.
